Privacy Policy
Last updated: 19 September 2026
Ultima Solar, operated by Ultima Service Group Pty Ltd in Western Australia (“we”, “us” or “our”), respects your privacy. This policy explains how we handle personal information when you visit ultimasolar.com.au, request a quote, select a package, contact us or purchase solar panels, battery storage or related installation services.
We aim to handle personal information consistently with the Australian Privacy Principles. Where the Privacy Act 1988 (Cth) applies to our business, we comply with its requirements. This policy does not limit your rights under applicable Australian law.
Information we collect
- Your name, email address, telephone number, installation address and preferred contact method.
- Property ownership or authority to arrange an installation; roof type, storeys, switchboard and electricity supply details; existing equipment and site access information.
- Electricity usage, bills and documents or photographs you choose to upload; package selection, budget, payment or finance preference, brand preference, backup requirements and installation timeframe.
- Enquiry messages, correspondence, service records, quotes, orders, warranty details and information needed for relevant rebate, certificate or network applications.
- Website activity such as IP address, device and browser information, pages visited, referral sources, advertising campaign identifiers and cookie identifiers.
Please provide only information needed for your enquiry. You may redact unrelated personal details from bills or documents. Do not send passwords, complete payment-card details or identity documents through an ordinary enquiry form unless we specifically arrange a suitable method.
How we collect information
We collect information directly through website forms, package submissions, email, telephone, chat and conversations with our team or reception service. We may also receive information from advertising lead forms, an authorised representative, or service providers assisting with your enquiry or installation.
Our website chatbot and automated enquiry tools may collect your answers and retain conversation details to assist our team. Where a telephone service records or transcribes calls, this should be explained at the time of the call. You can ask to use email instead. You can browse without identifying yourself, but we may be unable to prepare a site-specific quote or arrange installation without contact and property details.
Why we use information
We use information to respond to enquiries, assess property and system requirements, prepare quotes, arrange installation and after-sales support, and administer orders, warranties and requested rebate or network applications. We also use it to maintain records, secure our services, improve our website and measure advertising performance.
Enquiry tools may organise or prioritise leads using information such as location, requirements and timing. Their responses and displayed package prices do not constitute final technical approval, finance approval or confirmation of rebate eligibility. Contact us if you need a team member to review or correct your enquiry.
Who may receive information
Information may be shared, where needed for the relevant purpose, with our staff, reception service, installers and contractors; equipment suppliers and warranty providers; hosting, email, CRM, automation and IT providers; professional advisers; and relevant network operators, certificate administrators or government bodies. Finance providers may receive information where you ask us to assist with a finance enquiry. Choosing a finance preference on a form is not itself a credit application.
Our enquiry processes use services including HighLevel/LeadConnector and n8n automation. Advertising and analytics services may include Google and Meta. These providers process information under their own terms and privacy policies. We may also disclose information where required or authorised by law or to address fraud, security incidents or legal claims.
Overseas service providers
Cloud, CRM, communications and advertising providers may store or process information outside Australia, including in the United States and other countries where they or their subprocessors operate. Locations vary by provider and service; we cannot list every processing location with certainty. You may contact us for available information about providers involved in your enquiry. Where Australian privacy law requires safeguards for an overseas disclosure, we take reasonable steps to meet those requirements.
Cookies, analytics and advertising
Our website may use cookies, local storage and similar technologies for site operation, remembering chat details, measuring visits and attributing enquiries to advertising. Google tags and the Meta Pixel, where enabled, can send device identifiers and website interaction information to those providers to measure campaigns and support relevant advertising.
You can manage cookies through your browser, clear stored site data, and adjust advertising preferences through Google My Ad Center and Meta ad preferences. Blocking cookies may affect some website features and does not necessarily prevent all measurement. This policy is not a statement that a cookie-consent control is installed.
Contact and marketing preferences
When you request a quote or submit a package enquiry, we use your details to respond and discuss that request. Where permitted by law, we may also send relevant offers. You can opt out of promotional messages using the unsubscribe option provided or by contacting us. Opting out of marketing does not prevent necessary communications about an existing order, installation or warranty.
Storage, security and retention
Information is held in electronic business systems, correspondence and related service records. We take reasonable steps to protect it against misuse, loss and unauthorised access, modification or disclosure. No internet transmission or storage system is completely secure.
We retain information for as long as reasonably needed for the purpose for which it was collected, including installations, warranties, accounting, legal obligations and dispute resolution. Retention periods depend on the type of record. When information is no longer needed and retention is not required by law, we take reasonable steps to destroy or de-identify it. You may ask about deletion, subject to those obligations.
Access and correction
You can ask what personal information we hold about you and request access or correction using the contact details below. We may need to verify your identity before releasing records. We will respond within a reasonable period and explain any lawful reason for declining a request, together with available complaint options.
